Job Description

Project Coordinator is responsible for managing and facilitating project and task delivery, managing minor issues and risks, while ensuring tasks are completed with regards to the quality standards defined by the PMO team and within the project time frame.

Responsibilities
  • Trigger and monitor change requests in the studio.
  • Facilitate definition of project scope, goals and deliverables.
  • Lead planning and implementation of own project.
  • Assemble and coordinate project staff.
  • Manage project budget and project resource allocation.
  • Plan and schedule project timelines.
  • Define project tasks and resource requirements.
  • Create accurate cost estimates for the tasks performed.
  • Plan and assure quality assurance for project deliverables.
  • Provide updates and reports on projects.
  • Communicate effectively with stakeholders, both internal and external.
  • Cooperate with other departments and third parties to ensure project completion.
  • Prepare documentation of products, procedures and programs.
  • Support Project Managers in more complex projects.
  • Propose and implement improvements of products, programs and work procedures.
Qualifications
  • BA in Technical, Construction or Engineering field.
  • Previous Project Coordinator or Project Assistant experience.
  • Conceptual knowledge of PM theories, practices, and procedures.
  • Ability to work in a dynamic environment where priorities often change.
  • Excellent communication skills in English and Portuguese (written and verbal) at all levels within the organization and with external parties.
  • Excellent administration skills including management of project artifacts and their traceability.
  • Excellent organizational skills.

Purpose of Job:

Perform day-to-day project coordination work activities using NACS PMO standards, processes, methodologies and systems. Support planning and coordinating activities of client delivery projects to help ensure that goals and objectives of projects are accomplished within the established time frame and budget parameters. Monitor plans and activities pertaining to client delivery projects ensuring that project tasks are completed as scheduled and report status to project manager. Perform project activities and related documentation, ensuring the quality and integrity of the information and providing consistency in content and "look and feel" within a given project. Work closely with the project management and field service operations teams to utilize project tracking/management tools and search for creative ways to elevate the capabilities of project coordination activities to meet business needs. Work collaboratively across all levels and departments of the organization and ensure a seamless transition of work activities to execute operations functions.

Primary Roles & Responsibilities:

· Execute NACS PMO standards, processes and methodologies in a consistent manner for project coordination activities.

· Maintain project specific documentation and records involving multiple contributing teams.

· Coordinate projects and events and maintain communication with all parties involved.

· Communicate with stakeholders, project teams, management and vendors to collect project related information to keep accurate, up-to-date project records.

· Analyze project data, including analysis of budget, resource utilization and project delivery performance.

· Prepare a variety of periodic and ad hoc reports for PMO and operations management and distribute project related data and documentation as appropriate including budget data, project status reports, vendor information, requirements documents, policies and procedures documents.

· Prepare meeting agenda and presentations for communication of project information to stakeholders.

· Create and maintain project work schedules and supporting change control documentation.

· Act as liaison and primary point of contact for various contributing parties.

· Contribute to project specific tasks such as requirements gathering and testing as required.

· Foster collaborative working relationships within NACS operations and across all levels and departments of the organization to execute project coordination activities and company priorities.

· Achieve performance targets established by leadership for applicable Key Performance Indicators.

· Perform other duties as assigned by management.

Education / Experience Requirements

· Bachelor’s Degree in Computer Science, Information Systems, Business or related field, or equivalent, relevant experience.

· Minimum of 2 years Project Coordination experience within the technology services industry.

· Knowledge of project management and technical documentation tools.

· Knowledge of standardized project management methodologies and processes.

· Excellent organizational skills with a commitment to meeting deadlines and expectations while ensuring overall quality of delivery.

· Strong analytical skills including requirements documentation, troubleshooting and creative problem solving.

· Excellent communication skills, both written and verbal.

· Ability to foster strong working relationships between project teams, stakeholders, management and vendors.

· Proficient in MS Office (Word, Excel, PowerPoint), Outlook, SharePoint, MS Project, PPM tools, ERP, Salesforce.com, workforce management and cloud based technology systems.

  • On day-to-day, learn to use the main industry tools and Project Management Systems (e.g., CTMS, Veeva, and Project management dashboards) to support overall project health and client-facing deliverables. Become a subject matter expert to support the study team.
  • Collaborate cross-functionally to oversee timelines and milestones in appropriate systems. May include working in systems such as CTMS, project governance tools, and other trackers.
  • Work with Functional Leads and lead when required:
  • – Support development of project plans and coordinating review, feedback, and execution between study team and client. Be the POC for the client.
  • – Co-lead study financial updates with the Project Lead to support project financial health including payments where appropriate – attend and support financial review meetings.
  • – Prepare for audits and/or investigations, including responding to audit findings/CAPAs, creation of storyboards to document issues that may occur during the study.
  • – Facilitate and support sections of external meetings with clients.
  • – Review progress of projects and initiate appropriate actions to achieve target objectives.
  • – Deputize for the project lead when required.
Qualifications
  • You bring a university/college degree (life science suggested), or certification in a related allied health profession (i.e., nursing, medical or laboratory technology) from an appropriately accredited institution is highly desirable.
  • You have 1-2 years of relevant Clinical research experience in pharmaceutical, CRO industries or experience in a health care setting. Fortrea may consider relevant and equivalent experience in lieu of educational requirements.
  • Client-facing experience preferred – additional training will be provided.
  • This is a truly global team, so excellent ability to communicate verbally and in writing in English is a must.
