The Project Delivery Assistant (Remote) role at M3 USA / M3 Global Research focuses on strategizing custom recruiting actions for Quant and Qual projects, assigning recruiting tasks, and monitoring recruiting activities to ensure projects are delivered accurately within deadlines. The Project Delivery Assistant collaborates with project teams to understand recruiting needs and executes strategies to achieve sample targets in line with client expectations and company profit targets. The role may execute recruitment actions directly, assign tasks to colleagues, and work with managers on larger recruiting initiatives.
Responsibilities- Manage custom recruitment for 25 or more live projects, including complex projects and challenging recruiting targets, expanding knowledge and experience in market research recruitment for quantitative and qualitative studies.
- Attend Internal Kick-off (IKO) meetings as necessary to discuss and outline recruiting plans and timelines for successful project execution.
- Create a custom recruiting strategy for projects assigned, initiate and/or execute tasks, monitor progress, and adjust the recruiting strategy to maximize internal sample and meet client needs while maintaining profit targets.
- Recommend alternative internal sampling strategies to maximize internal completes.
- Communicate recruitment updates, status, and issues to internal project teams via email, meetings, or as agreed in regular intervals.
- Proactively seek alternative sample and recruiting strategies, providing ideas to improve response rate and reduce costs in each project.
- Have an excellent understanding of the M3 sampling, emailing, and reporting tools to support project deliverability.
- Provide constructive feedback to the line manager and suggest improvements to the functionality of M3 sampling, emailing, and reporting tools.
- Ensure KPIs (including outsource rates, panel recruitment, and quality scores) are achieved monthly.
- Assist the team in developing custom recruitment strategies to grow membership of the M3 Global Research panel.
- 1 year of experience in Market Research, preferably in recruiting, sampling or fieldwork.
- Exceptional written and verbal communication skills, with demonstrated knowledge of English grammar rules.
- Strong Microsoft Office skills (Advanced/Intermediate Excel) and quick learner of new technologies/software.
- Exhibit strong critical thinking skills and take initiative to improve skills and troubleshoot proactively using all available resources to support project success.
- Ability to work autonomously and in a team environment to successfully meet study-specific and departmental objectives.
- Self-motivated and able to (re)prioritize tasks throughout the workday.

Key Accountabilities: .

- Participate in Customer meetings when needed for resource planning scopes with AMS/PM/Sales managers, communicate with the customer during the service and assist with answering doubts. This includes meetings during dockings to follow-up the agreed work scope.
- Main responsible for personnel logistics including subcontractors’ when applicable
- Take part in KM Brazil 24-hour emergency support and KM Brazil service desk emails outside of normal business hours.
- Responsible for Work orders and Service appointments for project related service orders.
- Check the Project expenses report and send to Dept Leader for final Management approval.
- Responsible to revise the final value of the subcontractor invoice, compare with the original quotation, validate it and send for final Management approval.
- Responsible for assigned CRM queues and e-mail routing when required
- Participate in routine meetings for sharing resources regionally
- Communicate with the customer before and during the service and assist with all questions related to engineer scheduling and job specifics
Qualifications and Experience:
- Knowledge of KM Worldwide organizations, products, deliveries, and customers.
- Experience with Windows based ERP system is a plus
- Technical expertise is a plus
- Knowledge of operating a PC and working with Microsoft Office
- Knowledge of Microsoft Project
- Good English written and verbal communication with both internal and external customers
- High level of customer service skills

What You'll Do:
Executive Project Coordination- Coordinate projects and priorities for our COO who works closely with the CEO
- Prepare project status updates and materials for CEO-COO daily communication
- Manage CEO's project timelines and ensure nothing falls through the cracks
- Own CEO's calendar coordination using systematic scheduling frameworks
- Anticipate project needs for CEO before meetings and important calls
- Review AI meeting notes (Fireflies.ai), extract action items, and distribute to project teams
- Prepare project agendas for internal meetings and ensure weekly team calls stay on track
- Create weekly project status reports following SOPs and compile monthly project reporting
- Coordinate project deliverables between design and development teams
- Track project progress and ensure timely completion
- Manage social media content projects using our internal tools
- Coordinate graphic creation projects with design team, manage CEO/COO approval workflow, and schedule content publication
- Oversee sales follow-up projects, meeting research coordination, and email campaign management
- Support client relationship projects and lead nurturing initiatives
- When project capacity allows, identify and manage process improvement initiatives
- Coordinate administrative projects to keep operations running smoothly
- Research and manage optimization opportunities and workflow improvements
What We Need:
- 3+ years in project coordination or project management roles
- Required Tools: ClickUp, HubSpot, Fireflies.ai, Slack, Google Meet
- Strong project management and team coordination skills
- Experience managing marketing and sales projects
- Self-starter mindset: You identify and initiate valuable projects when capacity allows
- Proactive coordination: You anticipate project needs rather than wait to be told
- Systems-oriented: You create project workflows that ensure nothing is missed
Success Metrics:
- CEO feels completely supported with seamless project coordination
- All projects run smoothly with proper planning and follow-through
- Marketing projects flow seamlessly from creation to completion
