Context:

The International Organization for Migration (IOM) in Brazil is implementing various projects addressing the protection, assistance, and integration needs of migrants, refugees and other vulnerable populations in Brazil. IOM recognizes the importance of accurate and timely information to foster adequate programming and ensure accountability to affected population, donors and governments.

Under the direct supervision of the National Project Officer of the IOM Office in Boa Vista and in close collaboration with CCCM, Regularization and/or Relocation coordinators, the successful candidate will provide assistance to IOM Program activities in the Northern Brazil. In particular, the person will have the following responsibilities:

RESPONSIBILITIES

Assist in the implementation and monitoring of project activities.

  • Retrieve, compile, summarize, analyse, and present information/data on specific project topics.

  • Monitor budget; verify availability of funds; obtain necessary approval and

  • update budget related information.

  • Act as focal point for administrative coordination of project implementation, involving extensive liaison with diverse organizational units and external parties to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, etc.

  • Draft status reports, identifying shortfalls in delivery, bring them to the attention of the supervisor and suggest remedial actions.

  • Draft correspondence on project issues; prepare and update reports,

  • Briefing notes, graphics, statistical tables, presentation and other forms of documentation.

  • Respond to complex information requests and inquiries; set up and maintain files/records; organize meetings, workshops and training sessions.

  • Participate in meetings and conferences; assist in coordinating implementation activities with local authorities, partners, United Nation agencies, intergovernmental and non-governmental organizations, donors and other stakeholders relevant to the project.

  • Assist in monitoring work of implementing partners and report non- compliances to the supervisor.

  • Provides guidance/training to new/junior staff.

  • Perform other related duties as assigned.

QUALIFICATIONS

Education

  • High School diploma with at least 4 (four) years of relevant professional experience
  • Bachelor's degree in political or social sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or relatedfields from an accredited academic institution with at least 2 (two) years of relevant professional experience

Experience

  • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups.
  • Ability to work independently according to established structures and guidelines, including administrative requirements.
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organizations in a multi-cultural setting is an advantage.

Languages

Context

The forced return of Brazilians represents a significant humanitarian, social, and economic challenge, requiring a coordinated response based on human rights and sustainable reintegration of forced returnees. Many arrive in Brazil in situations of extreme vulnerability, without financial resources, housing, immediate access to essential services, and with significant mental health consequences for directly affected individuals.

The project "Multisectoral Strengthening of Brazilian Government Efforts for Humanized Reception, Human Rights Protection and Reintegration of Forcibly Returned Brazilians" seeks to ensure that affected individuals are received with dignity and have access to comprehensive support. Coordinated by the International Organization for Migration (IOM) in partnership with the federal government, mainly through the Ministry of Human Rights and Citizenship (MDHC), state and municipal governments, civil society and the private sector.

According to U.S. Immigration and Customs Enforcement (ICE) data, between 2021 and 2024, more than 39,000 Brazilians were detained by ICE. Administrative arrests of Brazilians by the agency increased significantly between 2021 and 2022 and continue to show an upward trend. Between 2021 and 2024, 7,168 Brazilians were forcibly returned, while 1,779 were expelled under Title 42.

Under the overall supervision of the Project Coordinator, the Project Assistant will be responsible for supporting the coordination, implementation and monitoring of activities within the project framework.

RESPONSIBILITIES

1. Support protection activities implementation

  • Support the coordination, implementation and monitoring of protection and promotion of human rights response

2. Specialized assistance and referrals

  • Provide specialized assistance for promotion and protection of human rights
  • Provide technical and structural specialized assistance to strengthen human right protection networks.

3. Documentation and reporting

  • Support the provision of regular progress updates, prepare success stories, and support data collection and analysis for the project monitoring.
  • Support technical assistance for the creation of national protocols and case management tools for human rights protection of returned Brazilians.
  • Contribute to promoting accountability to beneficiaries across the project portfolio.

4. Coordination and partnership

  • Support work with partners, agencies and relevant government counterparts, Brazilian Social Welfare System, non-governmental institutions, civil society organizations, UN agencies, and others regarding project implementation.
  • Support the coordination, mentoring and knowledge building of field teams on protection and social protection of vulnerable persons.

5. Additional responsibilities

  • Undertake site visits and duty travel as required.
  • Perform such other duties as may be assigned.

QUALIFICATIONS

Education

  • High School Diploma with a minimum of eight years of relevant professional experience; or
    Bachelor's degree in Social Sciences, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with a minimum of four three (3) years of relevant professional experience.

Experience

  • At least 1 year Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
  • Experience in liaising with Brazilian Government agencies, national/international institutions, United Nations Agencies and nongovernmental organizations;
  • Demonstrated experience in protection activities, case management, and working with vulnerable populations;

Skills

The Project Assistant works with Project Managers, Project Coordinators and Clinical Research Associates (CRA) at many stages during clinical studies. Works independently to coordinate and manage study deliverables and administrative tasks, as required by the project team.

More specifically, the Project Assistant must:

  • Participates and supports the project team for assigned studies with administrative tasks
  • Assists with maintenance of projects within the CTMS (i.e., trackers, contacts, etc.)

  • Follow-ups with team members for completion of the their project specific training
  • Assists with initiating and maintaining study files (eTMF)
  • Filing of email correspondences in eTMF

  • Supports the project coordinators with tracking, uploading and entering metadata for the site regulatory documents
  • May assist with tracking and review of the site close-out documents
  • May be assigned to the management of the study specific training in SOLABS
  • May update enrolment tracker (screened, randomized, screen failed) for assigned studies
  • May download site visit reports and site letters from CTMS and send for upload to eTMF
  • May assists with project tracking activities and status reports preparation
  • May support other groups within the Project Management department with various administrative tasks

  • Experience in clinical research and in biotechnology, pharmaceutical, and/or CRO industry is an asset.

Context

8. Assist in performing various assignments, in collaboration with national counterparts, by planning, organizing, managing logistics, and facilitating different events and activities in their administrative and organizational aspects with local governments, private sector, civil society and migrants;

9. Support the developing and dissemination of institutional and informational materials for refugees and migrants, including support with translation and revision of materials;

10. Perform other work-related duties, as required.

Qualifications: Education


• High school diploma with a minimum of four (4) years of relevant professional experience;

• University degree in Social Sciences, International Relations, Economics, Law, Public Policy, or a related field from an accredited academic institution with a minimum of two (2) years of experience;

Since the creation of IOM in 1951, Movement Operations have been and continue to be a fundamental pillar of the Organization's work. The organized movement of persons in need of international migration assistance is a primary mandate of the Organization and a cornerstone of IOM's operations. Movement Operations Units in various IOM Country Offices, coordinated under the Resettlement and Movement Management (RMM) Division in the Department of Mobility Pathways and Inclusion at IOM's Geneva Headquarters, are responsible for all aspects of travel for migrants and refugees under IOM's auspices, in accordance with the various framework agreements with resettlement and receiving Governments and partners across the spectrum of the Organization's programmes.

Under the general supervision of the Head of Programmes and the direct supervision of the Operations Coordinator, the Operations Assistant (Field Support/Data Processing), is responsible for the following duties and responsibilities.

RESPONSIBILITIES

Support IOM movement operations undertaking field support activities in an assigned area or areas, such as at an airport, transit center, third-party facility, shelter or sub-office, in relation to transportation.

  • Perform airport services, such as providing custodial care of travel documentation; verifying identities and documentation, including exit permissions, visas, tickets and other items in the travel bag; assisting with airport formalities, including flight arrivals, curb-side assistance, check-in, luggage formalities, immigration procedures, security screening systems and customs clearance; escorting arriving individuals to ground transportation and departing individuals to their gates; visually confirming flights have departed; ensuring individuals with special needs or equipment receive appropriate support; and, as needed, sending notifications using relevant systems.

  • Assist individuals at airports, transit centers or third-party facilities upon arrival with sign-in, verification of identity, orientation, food and non-food items and room assignments; during their stay , with food and non-food items, instructions, briefings, activities, and resolution of issues; and upon departure, return travel or onward travel , with briefings, luggage support and transition to transportation. Enter and update relevant data in the appropriate systems and ensure vulnerable individuals are assisted in a manner that ensures their safety, security, and comfort; report all issues immediately to the appropriate supervisor(s).

  • Assist at airports, transit centers and third-party facilities for extended periods of up to 12 hours and during overnight periods and weekends, ensuring the needs of individuals are met throughout their stay. Communicate promptly with third-party facility representatives and/or supervisors if issues arise.

  • Assist in the coordination of transportation from consolidation points, transit centers and third-party facilities, including liaising with service providers, ensuring the identity verification, readiness and organization of individuals being transported, and providing relevant briefings. Assist with baggage sorting, tagging, and handling and escort individuals on transportation as needed. Ensure individuals with special needs are provided with appropriate services and report any issues to supervisors immediately.

  • Provide interpretation services support for individuals at airports, transit centers, shelters, and third-party facilities or during transportation by air, ground, or water.

  • Record demographic and biographic information in MiMOSA upon receipt of the request for travel while confirming receipt to third parties, such as an embassy or Resettlement Support Center (RSC). Notify the Operations Coordinator of the receipt of new requests for travel assistance.

  • Secure, and account for travel documents in accordance with the local Standard Operating Procedures (SOPs). Ensure secure storage of documentation and data in accordance with IOM principles and guidelines while guaranteeing limited access to physical files.

  • Process exit permits in close coordination with supervisors and other IOM colleagues and relevant authorities.

  • Ensure the issuance and timely dispatch of travel documents with Operations colleagues, from booking notifications to logistical assistance with exit processes closely coordinated.

  • Prepare all travel-ready documentation for transfer to Field Support activities in collaboration and coordination with supervisors while ensuring the travel bag has all necessary documentation to depart the country.

  • Provide regular feedback on work being accomplished to the Operations Coordinator and team members and keep supervisors immediately informed of any issues requiring their attention.

  • Maintain and ensure the confidentiality and integrity of all relevant paperwork in line with standards of conduct and data protection rules. Alert the Operations Coordinator or management of any non-compliance to SOPs or codes of conduct by IOM staff members or partners.

  • Process, keep track and document project-related payments, procurement processes, agreements, contracts, and other administrative and logistical routines related to Movement Operations.

QUALIFICATIONS

Education

  • High school diploma with four years of relevant work experience, or;
  • Bachelor's degree with two years of relevant work experience.

Accredited Universities are those listed in the UNESCO World Higher Education Database .

Experience

  • Prior Movement Operations or transportation experience is a strong advantage.
  • Prior experience with assisting vulnerable migrants is a strong advantage.

Languages

  • Fluency in Portuguese and English is required.
  • Advance knowledge of Spanish is an advantage.

IOM's official languages are English, French and Spanish.

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.

Internal and external candidates will be considered for this vacancy. Context

Under the overall supervision of the Senior Programme Manager and the Project Coordinator, the Project Assistant will provide project management support to the Economic Integration Unit. In particular he/she will be responsible for:

RESPONSIBILITIES

Provide assistance and support to the coordination with civil society, government, private sector entities and academic institutions in order to facilitate the development, implementation and monitoring and evaluation of assigned programs/projects;

  • Provide support in outreach activities and in the development of partnerships with private sector partners in area of responsibility to enhance employment opportunities for migrants;

  • Identify new project possibilities in relation to economic integration of migrants and expressed governmental needs, donors' priorities and in line with IOM's mandate and strategy;

  • Assist the preparation of progress and other reports and ensure proper information exchange on all operational aspects of the project with the Project Coordinator;

  • Undertake site visits and duty travel as required relating to project implementation/coordination, liaison with counterparts, problem solving, and adaptation of activities to the different operational contexts as required;

  • Provide support for the implementation of capacity building activities for local stakeholders;

  • Assist in performing various assignments, in collaboration with national counterparts, by planning, organizing, managing logistics, and facilitating different events and activities in their administrative and organizational aspects with local governments, private sector, civil society and migrants;

  • Support collection of data and reports elaborations and systematizations, undertake logistical and administrative tasks necessary for the execution of abovementioned activities;

  • Perform other work-related tasks, as required.

QUALIFICATIONS

Education

  • High School diploma with 2 (two) years of relevant professional experience
  • Academic BA in Social Sciences, Social Services, Law, Administration, Education, Economics, or a related field from an accredited academic institution, with 1 (one) year of relevant professional experience can be considered in lieu of academic requirements.

Accredited Universities are those listed in the UNESCO World Higher Education Database .

Experience

  • Experience implementing and monitoring social and economic integration projects in partnership with government, civil society, UN, or private sector actors;
  • Ability to establish and maintain strong working relations with relevant government counterparts, civil society, international organizations and private sector entities;

Job Description
The Assistant Project Manager will take responsibility for effectively delivering a range of tasks to high quality standard and aid on a wide range of projects of all sizes and dimensions.

Handles commissions of varying sizes, depending upon the complexity of the project. Can work as part of a larger team or as the key day-to-day contact point with the client.

Help to set up the overall success criteria for the project, including time, cost, technical and performance parameter, project governance, project planning, processes, and systems to be used throughout project.

Candidates should preferably have experience in the
Mining
sector with knowledge of all aspects of a project such as Civil-Structural and Electro-Mechanical Engineering.

Qualifications
Included but not limited to:

  • Monitor and control the project by:

  • Applying performance management techniques.

  • Managing the change control process.
  • Advise upon project finances.
  • Scheduling regular meetings with pertinent personnel to help, support and track.
  • Managing project correspondence.

  • Interpret and comprehend contract related agreements, work letters, project charters, surveys, budgets, schedules, and drawings.

  • Development and maintenance of project status reports, process purchase orders, and tracking reports for due diligence and financials.
  • Ability in managing multiple timelines and projects simultaneously, setting priorities, and working with little to no direct supervision.

Requirements

  • Bachelor's degree in engineering, Architecture or related.
  • A minimum of 3 years' experience working in Mining final projects.
  • Complete project ownership.
  • Report development and follow up.
  • Information management between the team and the client.
  • Advanced experience with the MS Office Package (Project, Word, Excel, and PowerPoint).
  • Fluent in English.
